How to Apply for ARIA

DEADLINE: February 23, 2025 at 11:59 PM (EST)

The applicant and their supervising professor must complete and sign* the following ARIA application form:

* Important signature guidelines are detailed at the bottom of this page. Your application will only be considered if all the steps are completed.

What to Prepare for the Application Form

  1. Student's personal and academic information:听

    • Confirm that you meet the student eligibility criteria*
      * If you feel you have experienced barriers which have had an impact on your academic performance and wish to highlight these to the selection committee, the "Further comments" box at the end of the application form will be taken into consideration in the application process.
    • Unofficial transcript听in PDF format, named "lastname.firstname_transcript".
      • On Minerva, go to Student - Student Records Menu - View Your Unofficial Transcript, then
    • Proof whether you have or have not opted out of the Arts Student Employment Fund (ASEF) fee听in PDF format, named "lastname.firstname_ASEF"
      Your acceptance to ARIA is not conditional to the ASEF fee, but it will help us allocate the awards if you are selected.
      • Go to Minerva - Student - Student Accounts Menu - Account Summary by Term
      • Find the AUGE Arts Student Employment Fund in the list of charges and
  2. Faculty supervisor's information:听

    • Confirm that the Faculty supervisor meets the eligibility criteria.听
    • 海角社区 Fund or Grant number The fund from which the professor has agreed to issue the award, please ask your supervisor for this information. Please make sure that your supervisor agrees to contribute $2,500 (from a grant) towards the research internship award. The research award must be processed using Banner Student Aid.
  3. Project Information:

    • Project title and description听(This section should be completed by the faculty supervisor) - 750 words max.听
      • Provide a summary of your proposal written in clear, plain language. It should be written in non-technical terms and be clearly understood by a range of audiences with varied areas of expertise.
      • Clearly include the following:
      1. the overall goal and objectives of the ARIA project,
      2. the student's roles,
      3. the learning goals and outcomes for the student,
      4. the relevance of the research to the student鈥檚 academic program,
      5. the faculty supervisor's mentorship role.
    • Proposed start and end date听- Students will be expected to dedicate a maximum of 11 weeks to the internship
    • Number of hours per week -听A maximum of 25-30 hours per week. Projects that require over 30 hours per week will not be accepted.
    • Proposed weekly internship schedule and supervisor meeting schedule (e.g. Monday through Friday, 10am-3pm; weekly Wednesday meetings with supervisor via Zoom)Please review project timeline to ensure sufficient time is allocated to allow for project completion.
  4. Travel

    • Details on location, accommodations, and travel (if applicable)
    • Please advise if you will be required to travel during the ARIA internship (ex. conference, meetings, research, etc.).
    • For students conducting an ARIA internship听outside of Montreal: The 海角社区 Student Travel Registry is mandatory for all university-related travel outside of Montreal.
    • If your ARIA internship requires travel听outside of Canada, please upload the听Pre-Departure Orientation certificate of completion:听Pre-Departure Orientation is mandatory for all university-related听travel outside of Canada.听
      • You must complete the听Pre-departure Orientation3-6 months prior听to departure听for your international activity.
      • For more information on travel,听please refer to the "Travel" tab.听
      • You will be required to upload the certificate of completion in your application.听The certificate is valid for 1 calendar year from the date of issue.
  5. Declaration

    • Declare if you have applied听for funding from other 海角社区 offices for your research project. If yes, which.
    • Declare that you will complete听the necessary requirements as listed under Award Recipient Responsibilities.
  6. Further comments

    • *If you feel you have experienced barriers which have had an impact on your academic performance and wish to highlight these to the selection committee, the "Further comments" box at the end of the application form will be taken into consideration in the application process.

IMPORTANT NOTE: IN ORDER TO HAVE A VALID AND COMPLETE ARIA APPLICATION, YOU MUST COMPLETE THE FOLLOWING STEPS:听

  1. After submitting the ARIA Application Form (Microsoft Form), download the full online application form into a PDF document (by clicking "Print or get PDF of answers" on the page that will appear when you submit the webform),
  2. Send the PDF to your Supervising Professor and instruct to review and share with Department Chair/Head,
  3. Have your Supervising Professor submit the application by email to aio [at] mcgill.ca听with the Department Chair/Head CC'd and to include the following message in the body of the email: 鈥淚 certify that I have reviewed the attached ARIA application of (student's name) and that the content is legitimate, appropriate and reasonable. I also agree to match the $2,500 financial contribution from the Faculty of Arts if this project is chosen for an ARIA.鈥
